Full Job Description

Manage Expenses by …
• Provide accurate quotes to clients to ensure no losses due to operational write offs.
• Ensure invoicing is correct to avoid losses due to errors.
• Manage freight mark ups to maximise revenue opportunities where possible.
• Ensure any spending is done in line with department budget.
• Ensuring foreign invoices / third party are captured correctly and in a timely manner to avoid ROE losses/variances.
• Ensure RCG submissions are done on time to avoid penalties.
• Ensure client is invoiced within 24 hours of flight arrival.
• Note and advise management of any new business opportunities or extension business opportunities
discovered during normal handling of business.

Adherence to Policies & Procedures by…
• Pre-alert to be sent to the client at least 24 hours before arrival.
• Ensure shipments are registered correctly and before flight arrival.
• Ensure feedback is provided within the same day as query is received.
• Escalate to the branch manager where necessary for timely resolve.
• Ensure the first invoice to the client is correct and in line with any quote done.

Operational Excellence by…
• Ensure paperless filing is kept up to date.

Culture Accountability by…
• Ensure timely, friendly, helpful communication with clients and updates to be provided at every milestone.
• Ensure daily tracking is done and provided to the client and any delays to be communicated.
• Ensuring that operational procedures are carried out in line with the SOP.
• Delivering overall professional client support.
• Noting any challenges in the processes and suggesting change where necessary.
• Total adherence and implementation of company policies and procedures.
• Meetings with your supervisor as and when required.
• Three EEE's.
• Deliverables and general performance discussion quarterly.
• Compliance to all HR policies, practices and administrative procedures.

Minimum Requirements

• Minimum of grade 12.
• Minimum of 12 months within any commercial, shipping or Clearing & Forwarding Company.
• Minimum of 5 years’ working experience within the Road / Freight Industry could be an advantage.
• Certificate or Diploma in Supply Chain Management NQF 5 or similar could be an advantage.
• Incoterms Knowledge is an advantage.

SKILLS:
• Computer operations MS of Excel / Word and Outlook.
• Must have good knowledge of freight related calculations / formulas.
• Must have organizational skills and effective time management skills.
• Must have good telephonic manners and consistent liaison skills.
• Must have attentive attitude towards responsibility.
• Must have excellent geographical understanding.
• Must have knowledge of incoterms.
• Must have basic knowledge and understanding of shipping practices with in a commercial or shipping
environment.
